        Hi Cathy

        If you process two different companies on Pastel Payroll using the same PAYE reference number, you have to ensure that the certificate numbers used for each company are different and do not overlap else you will have duplicate certificate numbers which will overwrite each other on importing the electronic files into e@syFile.

      e@syFile Employer Version 6.0.2 is available to address further issues experienced with logging into and upgrading of the database. SARS are aware of similar problems caused by certain anti-virus products and firewall instances and they have published a document discussing the necessary steps to be taken in addressing this problem on the eFiling wesbite, http://www.sarsefiling.co.za.

      Employers who have already successfully submitted their annual PAYE reconciliations do not have to resubmit using the latest version but employers who still need to complete their reconciliations before the 31 May 2012 deadline are urged to do so as soon as possible using the latest version of the e@syFile software.

      Good Day, I have updated to easyfile vers 6.2.2 , but when I try to login, it says busy processing, and it shows a clock and it just hangs, I tried unistalling and re-installing but that has not worked. I even tried uninstalling AVB antivirus and that has not worked. Please help

        Hi Nigel, I’m also having the same problem with easyfile 6.2.2, it simply freezes after entering my login details stating “processing”. I’ve tried uninstalling and reinstalling without it success.

        Hi Brendan, what you need to do is uninstall easyfile and java on your system, then reinstall easyfile and java from the download and it will come right. Java was causing the problem, so if you use the java download when you are downloading it will come right.

        I have just solved this problem with SARS. You have to install Java 6 upgrade 45. Do a Google search and select the first option and then download. Your easyfile should work.

    what if we downloaded the latest 6.0.1 from them, but still experience the same problem re the login not accepting?

      Hi Carla

      You can try deleting your current data and accessing e@syFile 6.0.1 again to create a new database to create new login details. Once you have accessed the application again using the new database, go and restore your e@syFile backup to access your PAYE data.

      It is imperative that you have a backup of your current e@syFile data before attempting this. If you need help, you are welcome to contact our call centre. One of our agents will be able to assist you through the process, alternatively you can contact the SARS call centre for assistance.

      If the problem persists, we will report the issue to SARS and the e@syFile developers.

    hi there, i am getting an error from sars easyfile once i have imported my irp5s, the error is- period employed to date invlaid format code 3180 (ccyymmdd), i asked the call centre and i changed the company parameter date setting but yet it is still coming up with the same errors now what? thank you

    Hi, quick questions – on the Irp5 –
    1. 3810 – is this the Full amount paid by employers?
    2. 4005 – is this amount paid by employees?
    3. 4474 – is this the amount paid by employers?
    4. 4497 – is this the TOTAL amount of medical Aid paid ?
    please advise.

      The source codes you refer to can be explained as follows:
      3810 Medical Aid Fringe Benefit – value of the medical aid contribution paid by the employer on behalf of the employee
      4005 Employee Deemed and Actual Medical Aid Contributions – value of medical aid contributions paid by the employee
      4474 Medical Aid Contributions paid by the employer on behalf of the employee.
      4497 Total Deductions and Contributions – total of all deduction and contribution source codes.

      In short, the value for code 3810 should be equal to the value for code 4474.
      The value for code 4005 should include the value for code 3810 plus any amounts deducted from the employee.
      The value for code 4497 should include both codes 4005 and 4474.

        although – what happens in the case where the company pays the medical aid 100% –
        4005 should then have a Nil value, but a Nil value is not allowed in E@SY file? on the Irp5

    If the company pays 100% of the contribution, then the full contribution is included as a taxable fringe benefit against code 3810. Code 4005 must include the value contributed by the employee as well as any amount deemed to have been contributed by the employee. The deemed contribution includes the value of the fringe benefit, therefore whatever is reported against code 3810 must also be included in code 4005.
    One of the validation rules state that if code 3810 has a value, code 4005 cannot be zero as it automatically needs to include the value of code 3810.

      3810 = 66192
      4005 = 66192
      4474 = 66192
      BUT then E@sy file automatically adds up everything with a TOTAL of R132 384. [which i’m unable to change)
      WHEN in fact the total amount was paid for the year was R66 192 –
      ????

    Code 4497 is not a reflection of the total amount paid – it is a control total that adds the value of all codes prefixed with a 4. The calculation will exclude code 3810 but will include any code starting with a 4 – deductions and contributions. You are welcome to visit http://www.sars.gov.za to view the Business Requirements Specification document for Employee Tax Certificates where all these rules are explained.

    Morning, I’m having a problem submitting my iRP5’s – i do the recon, submit it on E@sy file. i check under utilities EMP 501 Status dash board to see that it has been submitted and accepted .but when i log out of the software, and go back in – it’s still sitting under the submission tab. And it’s not under the utilities tab under emp 501 Status dash board. I have been trying for 2 days now and to to no avail. Plz Help!

    Not too worry, sorted it out – there was a ‘warning’ under the Pre-admission tab, stating that an employee work address was not completed. hence i think why it was resetting. cancelled Irps5 submission and re-submitted – all seems to be fine.

    I have a problem with E@syfile, I have imported payroll file, Completed EMP501, submitted to SARS but when you look at the Dashboard my EMP201 / EMP501 totals show, but the tax certificates is 0.00, I Generated my IRP5’s from the E@syfile system but it still display as 0.00 under dashboard and Recon Assist. If possible, please can you help.

      Did you make use of the latest e@syFile version to complete your reconciliation? SARS has released Version 6.0.3 recently. If you still experience this problem on the latest version, please let me know so I can get someone to contact you to troubleshoot the problem further.

      where is update 6.0.4 can`t vind it, have lots of problems from 6.0.0 (March) now (July ) and on 6.0.3. this morning it wants my to update again to 6.0.0 Already submit to sars 2012 recon from my com. but no replay from them to my com. show nothing on my side , went in to sars to print the IRP5/IT3

        The latest version of e@syFile is available to download from http://www.sarsefiling.co.za or will be installed if you open your current version and allow the online update to complete. I suggest that you contact your local SARS branch and ask them to confirm that they have received your PAYE Reconciliation for 2011/2012. If they have not, you might want to resubmit your data using the latest version.

    Hi I have a question regarding the codes 4474, 4005, 3810. I am busy submitting my ITR12 on e-filing. I usually calculate the tax on my own to make sure I don’t make a mistake, and I picked up the following problem: The company makes a medical aid contribution of say R500 and I make a contribution of R600. The income code 3810 = R500, deductions: 4005 = R600 and 4474=R500. When I do the calc on e-filing only the R600 (code 4005) qualifies for a deduction. According to me the R500+R600+other medical expenses (code 4020) should qualify. Can you please help me? Is it possible that there is a code missing? How can I rectify this?

      Based on the info you provide, it sounds like your tax certificate was not generated correctly. Code 4005 should include your own contribution of R600 as well as the deemed contribution of R500 reported against code 3810. The value of code 4005 on your IRP5 should therefore have been R1100 and not only R600.

    I have problems importing a csv file into the newest version of Easy file employer for the Bi annual PAYE recon.

    It fails because of the following reason stated in the File log:
    “The sum of 3810/3860 codes should equal that of code 4474 in line 3”

    The exception report in Pastel was clear. I already ran the Pay Period update for Aug. How do I go about fixing this problem?

      What this error means is that the amount for code 3810 – Medical aid contributions benefit is not equal to the amount for code 4474 – Employer‘s medical aid contributions and as per SARS Rules this should be.

      Please see extract out of PAYE-GEN-01 – GUIDE FOR EMPLOYERS IN RESPECT OF EMPLOYEES’ TAX (2013 TAX YEAR)

      Medical scheme contributions by employer

      A contribution made by an employer on behalf of an employee who is under 65 years of age is a taxable fringe benefit in the hands of an employee. These contributions are deemed to be paid by the employee and the same value included as a taxable benefit (code 3810) should be added to the value of the contributions made by the employee (code 4005).
      The value for code 3810/3860 must be equal to the value for code 4474, if the year of assessment is >2010

      IRP5/IT3(a) details

      The information relating to medical scheme contributions must be reported under the following codes:

      Code 4005 – Medical scheme contributions made by the employee
      Code 4474 – Employer’s medical scheme contributions made for the benefit of the employee; or
      Code 4493 – Employer’s medical scheme contributions made for the benefit of the retired employee or dependants to whom the “no value” provisions apply.

      Please can you first run a legislative release? Go to File…Legislative Release and run this. Please make a backup before you do this. You can run this release in September when the employees are not processed. This will link the correct tax totals to our default transactions. Please export the file again and import it into E@syFile.

      Please let me know if you still get this error?

      In E@syFile please go to the menu option, Utilities and select Delete Payroll File under System Utilities. Select the payroll file that you want to delete and click on
      view. Select Delete and delete the file.

    I have an issue with importing my payroll file it imports into validates and says validation successful but then when i try import the file it says import failed and doesnt say why please help i am desperate been on the phone all day to sars no luck and didnt get through to pastel – i had reloaded my machine about a week ago and it is doing this now not sure only on the one company too? any ideas!!!

    I have created my electronic certificates but l have some duplicated tax certificates numbers now l can not import into easyfile because its showing errors. How do l correct that so that I dont have duplicate certificate numbers

I have also tried the solution of removing the Java versions at the same time and I am still having the same problem. I have contacted SARS and they say I must try when in a couple of hours time. I have tried that too but still no luck. please help

      Hi, Just save all your info, uninstall easyfile and java, reinstall easyfile with java and it will work.

    I need to cancel an IRP5 certificate that was submitted for 2013 (IRP5 was issued incorrectly).
    When I go to the declaration to submit the cancelled IRP5 and the new certificate, it says the submission is still “pending” with SARS.

    Have phoned SARS about this and they could not help with a solution.

    Anyone experience the same and how did you resolve?

    Good day,
    I cancelled an IRP5 certificate in error. So now the certificate status is cancelled. how do i get status back to created.
    I phoned SARS and was advised to add the employee again which i have done but there is no IRP5 information on the created employee. I have tried to import the CVS file for that employee but nothing happening. Do i need to add the IRP5 information manually since i cant import from Payroll.

      Because you cancelled the certificate number that was generated by your payroll software and imported via CSV, you need to create a replacement certificate manually using e@syFile. You will have to capture the new certificate details against a new certificate number.

    Our computer was stolen. When I loaded Easyfile it asked for a User name (admin) and I mixed up the passwords. I then entered password 1 with the admin password.

    The system now can’t update the EMP 201.

    I know I boobed but am now in real trouble.

      When you generated the electronic certificates in CSV format, you selected to generate Test Certificates. You need to select the Final Print option to generate the CSV in live format to allow for importing of the actual certificates.

    I am on the version 6.6.3 of Easyfile. I upload the payroll file and it says it has done it successfully. Then when I try and go to my declaration it doesn’t pull through the total value of my tax certificates. Please could someone help me with this?
